Volunteers must be at least 16 years old, with no upper age limit, as long as they are able to perform the responsibilities of the role at MFT.

Where can I volunteer?

We have a variety of volunteer roles available across our hospital sites; however, please note that your preferred site may depend on availability and service needs. Our hospitals include:

Oxford Road Campus (ORC) – Manchester Royal Infirmary, Saint Mary’s Hospital, Manchester Royal Eye Hospital, Royal Manchester Children’s Hospital and University Dental Hospital of Manchester

Wythenshawe Hospital, Withington Community Hospital, Trafford General Hospital, and Altrincham Hospital (WTWA)

North Manchester General Hospital

Local Care Organisation (LCO), and Trafford Local Care Organisation (TLCO)
Description of role: ROLE PURPOSE

The Voluntary Services Administrative Volunteer will provide vital administrative support to the Patient Experience Department. This role is designed to help ensure the smooth day-to-day operation of the department and contribute to its overall effectiveness.

At the start of each session, the volunteer will liaise with the Voluntary Services Administrative Officer and / or the Voluntary Services Administrative Assistant to receive their assigned tasks, which may vary from session to session. Typical responsibilities will include:
• General administrative duties, such as logging volunteer hours, photocopying and answering phone calls.
• Supporting the delivery and collection of patient surveys and posters across wards and departments.
• Helping patients complete Patient Experience surveys to capture feedback on their hospital experience.

The volunteer must possess excellent interpersonal, communication and organisational skills, alongside strong computer literacy, enabling them to confidently and independently engage with volunteers, candidates, and staff. Volunteers are required to recognise when a volunteer raises a complaint or concern and ensure these are promptly and appropriately directed to the Voluntary Services Administrative Officer / Assistant, in line with MFT procedures.

Please note: This role is intended to support, not replace, the work of paid staff. Volunteers will provide valuable assistance by offering a helpful, friendly service. Volunteers must not give advice or share personal opinions about the care an individual has received.

KEY DUTIES AND RESPONSIBILITES

• Assist administrative colleagues with daily office tasks, including filing, photocopying, scanning, processing incoming and outgoing post, and data input as required.
• Inputting volunteer hours onto the Better Impact System.
• Support colleagues with general enquiries and administrative duties, such as signposting volunteers and visitors or assisting with basic hospitality tasks (e.g., making drinks.)
• Help deliver, distribute, and collect Patient Experience related surveys and posters across hospital wards and departments.
• Provide clear and friendly directions to patients and visitors navigating departments, clinics, and wards.
• Engage in friendly and supportive conversations with patients, offering a reassuring presence to help reduce stress and anxiety.
• Contribute positively to the efficiency and effectiveness of the Voluntary Services Team, maintaining a proactive and professional attitude.
• Support the team at Voluntary Services events
• Promote and uphold equality, diversity, and individual rights, ensuring practice is aligned with MFT policies and taking appropriate action if behaviour undermines these principles.

TRAINING

Volunteers will:
• Develop a working knowledge of MFT policies and procedures relating to Voluntary Services.
• Actively promote and support equality, diversity, and the rights of individuals, ensuring practice aligns with MFT policies and taking action if standards are undermined.
• Be prepared to adapt to new or different duties as required in response to service developments.

ROLE AND RESPONSIBILITY OF THE VOLUNTARY SERVICES ADMINISTRATIVE OFFICER / ASSISTANT

• Provide a thorough orientation to the venue, including environment, procedures, and safety requirements.
• Assign suitable and meaningful tasks align with the volunteer’s skills and organisation's needs, providing clear instructions and expectations.
• Serve as the primary point of contact for the volunteer, offering guidance, support, and regular communication to help them feel welcomed and valued, and to address any questions or concerns.
